We know that homeowners and business owners are experts at running a tight budget. Your daily financial calculations are already precise.

The gap between advertised rent and reality is widening in 2026, making standard spreadsheets less reliable. Figuring out exactly how much rent can I afford all in requires looking at the total cash outflow.

If you

, our team works backward from it to find the exact buildings that fit your criteria.

Here is the step-by-step method to check any listing yourself.

## What does “all-in” mean for an apartment budget, and how much rent can I afford all in?

An all-in budget is the total amount you will pay each month to live in the apartment, not just the advertised base rent. This true figure includes mandatory property fees, utilities, and parking costs.

At new Austin buildings, that gap is very real. Required fees alone ran $78 to $228 a month at 12 board buildings (median $120.50, Oct 25, 2026), before electric, water, or parking.

The Federal Trade Commission took notice of these hidden expenses in early 2026 by proposing new rules against deceptive rental charges. Major property management companies recently paid a $24 million settlement over hidden fees, proving this is a nationwide issue.

Common mandatory charges to look for include:

- Boiler management fees
- Valet trash collection
- Mandatory technology packages
- Variable refrigerant flow fees

## Step 1: Start with true monthly

True monthly is the core metric used to compare different buildings accurately. It combines the net effective rent with all required fees and utility estimates to give you a realistic picture.

**True monthly = net effective + required fees + electric estimate + water charge + parking**

![Stacked bar showing net effective, fees, electric, water, and parking adding to true monthly](/images/content/stacked-bar-showing-net-effective-fees-electric-wa.webp)

We always start with a worked example using simple numbers. U.S. utility costs reached an average of $363 per month in 2026. A one-bedroom apartment electric bill typically ranges from $90 to $180, depending heavily on your state’s climate.

| Line | Monthly |
| --- | --- |
| Base rent | $1,500 |
| Net effective (10 weeks free, 12 months) | $1,212 |
| Required fees | $120 |
| Electric estimate | $90 |
| Water and trash billed by property | $45 |
| Parking | $0 |
| True monthly | $1,467 |

If your all-in budget is $1,500, this building fits perfectly in year one. Step 4 checks year two.

## Step 2: Check move-in cash

Move-in cash is the total amount of liquidity you must pay before you receive the keys. This upfront capital includes the first month of rent and various deposits.

**Move-in cash = first month due + security deposit + application and admin fees + pet deposit + utility deposit**

### Upfront Specials and Deposits

An upfront special can significantly lower your first month’s payment. A 12-month letter of credit from your current utility provider can completely waive the deposit at Austin Energy ($200), PEC (up to $150), and Georgetown ($250).

Check out our guide on

waiving utility deposits

[/guides/waive-utility-deposits-letter-of-credit/ →](/guides/waive-utility-deposits-letter-of-credit/)

 for exact details.

### Budgeting for Application Charges

We recommend budgeting carefully for non-refundable application charges. Many states capped security deposits at one month of rent in 2025 and 2026, but administrative fees remain largely unregulated.

These administrative charges often range from $150 to $300 per applicant.

## Step 3: Add the commute

Adding the commute means calculating the monthly cost of gas and tolls to determine your true living expenses. A cheaper apartment far from the office often costs more overall.

### The Real Cost of Driving

If your commute uses a toll road, you must add it to the spreadsheet. The basic formula is simple.

Monthly tolls = toll per one-way trip × trips per week × 52 ÷ 12.

At $4 a trip and 10 trips a week, that amounts to about $173 a month. A building that is $100 cheaper on rent but requires $173 in tolls will actually drain your bank account faster.

We advise clients to factor in general vehicle wear and tear as well. The national average commute cost hit $6,770 per year in 2026 according to consumer data. The IRS business mileage rate is $0.70 per mile for 2026, which serves as a great baseline for estimating your own driving expenses.

## Step 4: Check year two

Year two costs always price upward from the base rent, not the discounted net effective rate. You must calculate this future jump before signing any lease with a concession.

### Planning for Renewal Increases

Renewals price directly from the base rent line. In the previous example, year two at the exact same base rent is $1,500 + $120 + $90 + $45 = $1,755.

That is roughly $288 more a month than year one.

At a 3% increase, the base becomes $1,545 and year two jumps to $1,800. We saw massive double-digit rent spikes in 2021, but the market has stabilized significantly. National rent renewal increases are hovering around a much more predictable 2% to 3% for 2026.

> **What it means for you**
>
> Budget for year two, not just year one. If $1,755 doesn’t fit, look for a lower base rent with a smaller special rather than a deeper special on a higher base.

explains the renewal jump in detail.

## Step 5: Compare 24-month totals

The 24-month total puts year one and year two together to reveal the true cost of a lease. This combined metric is essential for long-term financial forecasting.

| | Building A | Building B |
| --- | --- | --- |
| Base rent | $1,500 | $1,420 |
| Special | 10 weeks on 12 months | 4 weeks on 12 months |
| Net effective | $1,212 | $1,311 |
| Year one rent | $14,544 | $15,732 |
| Year two rent at 0% | $18,000 | $17,040 |
| 24-month rent | $32,544 | $32,772 |

Building A looks $99 a month cheaper in year one. Over 24 months, the two properties are only $228 apart.

At a 3% increase, the gap narrows even further. Fees and utilities will decide the winner.

We highly recommend using a 24-month timeline for corporate housing or long-term relocations. Business owners understand that looking at a single year of cash flow often hides future liabilities.

## Step 6: Check approval

Most buildings want proof of a gross income measuring about three times the monthly rent. A select few properties will test your income against the rent price after the special is applied.

At a $1,500 base rent, a 3x requirement equals a gross salary of $54,000 a year. We consistently see landlords strictly enforcing this ratio in 2026.

Why it goes wrong

## Why the advertised price isn't what you'll pay

Problem 1

### Specials don't compare

10.8 weeks free was the board median on Oct 25, 2026. On 12 months that is about 21% off base, spread across the year.

Problem 2

### Fees sit outside the rent

Required fees ran $78-$228 a month at 12 board buildings (median $120.50), about $1,446 a year outside headline rent.

Problem 3

### Year two jumps

Renewals price from base rent. At the median special, year two is about 26% higher at the same base.

So we show net effective, true monthly, and year two on every building before you tour.

## Questions about this topic

Direct answer first, then the source and date. If your question isn't here, ask us on the form or by text.

### Should my budget include fees and parking?

Yes. Give us the all-in number you can pay each month and we'll do the math: net effective plus required fees, electric, water, and parking.

### What's a 24-month total?

Year one after the special plus year two at base rent (at 0% or +3%), plus fees. It shows the full cost of a deep special that resets at renewal.

### How much should I spend on rent?

Most buildings want income of about 3x the rent to approve you. Your own comfort level may be lower; start from the all-in number you can carry in year two, not just year one.

### Can you guarantee a price or approval?

No. The community sets price and approval. We confirm them in writing.
